Tournament Details and Rules

We are delighted that you have agreed to come to the SCRFC Mini Rugby Festival on Sunday 2nd April 2017. We look forward to welcoming you for a fun day of (hopefully dry) exciting rugby.

Finding us: We are at the Roger Smoldon Ground, 160 Walmley Road, Sutton Coldfield, B76 2QA.
For more information then please see our website http://www.suttoncoldfieldrfc.com/. Please can you let me know if you need any more detailed directions?

Parking will be limited at the ground so if you can encourage car sharing then that will be appreciated. Can you advise us if you are bringing a coach or minibus so that we can reserve you a suitable parking space?

Entrance fee is £5 per car, £15 per minibus and £40 per coach. Payment will be taken at the gate.

Gates will be open from 9:15 and matches will start at 11:00. The younger age groups (U7-U9) are expected to finish by c. 13:30 and the older ages (U10-U12) are expected to be finished by 14:30.
There will be a presentation of a fair play trophy- trophies sponsored by The Childcare Bureau- for each age group separately – to be held pitch side once the matches for that age have concluded. There will also be a presentation of the U12 trophies for the winners and runners up of the Cup and Plate- to be held in front of the club house at the end of their matches. For all age groups the registered players will receive a medal for taking part.

All age groups will play in accordance with the RFU New Rules of Play. A copy (for reference) will be provided within the programme.

The event format for the U7- U11s will be in a round robin format within separate pools- with the U10 and U11s to play in a pool structure and will finish with a tiered match against a similar standard team from the opposite pool. All teams will play an equal number of matches and will be completed on a festival basis:
U7- matches will be 12 minutes long with a brief interval for half time
U8- matches will be 12 minutes long with a brief interval for half time
U9- matches will be 12 minutes long with a brief interval for half time
U10- matches will be 12 minutes long with a brief interval for half time
U11- matches will be 14 minutes long with a brief interval for half time
The U12 competition will be in a pool format followed by Cup and Plate semi-finals and finals.
U12- matches will be 14 minutes long with a brief interval for half time

Maximum number of players per squad: NB: this limit is necessary due to capacity and space constraints etc. We would encourage that all players in your squads are given an equal playing time to maximise enjoyment for all and to ensure that some players are not “over played”.
U7 – 8 players (4-a-side plus 4 substitutes)
U8 – 10 players (6-a-side plus 4 substitutes)
U9 – 12 players (7-a-side plus 5 substitutes)
U10 – 13 players (8-a-side plus 5 substitutes)
U11 – 14 players (9-a-side plus 5 substitutes)
U12 – 17 players (12-a-side plus 5 substitutes)

Clubs entering 2 teams within an age group must treat them as separate teams, with players only being able to play for 1 squad unless a change in squad is approved by the host head coach- likely only to be approved due to injuries.

Each club is required to nominate a DBS-approved referee per age-group, who will be scheduled to referee games between other clubs.

On the day, please can you register your team’s arrival before 10 am. You have been sent a registration form along with this letter. You can email this to me prior to the event- but if you do this can you also advise our registration team (located in front of the clubhouse) on the day when you arrive so that we know you are with us.
A coach and referees briefings will be held at 10:30 for individual age groups by the side of your pitches (to be held by the age group identification flags). Host head coaches will provide the briefing. If you have any specific queries then you are welcome to email us in advance of the tournament. Email contact details are below.

You are welcome to bring team gazebos / event-shelters but please do not erect these within 5m of any pitch.

Refreshments will be available through the day- with a kitchen facility offering hot sandwiches and drinks upstairs in the club house and tea, coffee & hot-chocolate will be available throughout the day in the downstairs bar area. We will have a BBQ located just outside the clubhouse and we will have a stall for cakes, sweets and soft-drinks plus our main clubhouse bar and visiting ice-cream van.
The club has appointed a professional photographer (DE Photo) to take action pictures/prints that will be available for parents to buy on the day. NB: unless we are advised otherwise then SCRFC will deem that by attending the event you are providing consent for photographs to be taken and displayed in the clubhouse and on the SCRFC website.
Please can you advise all parents/guardians that in the event of illness or accident to a player that every effort will be made to contact them, but if this is not possible, then by registering their child to take part in this Festival that they have given permission for a qualified First Aider to take appropriate action. In addition, please can you advise us if any of your registered players have an existing medical condition or may require treatment during the day?
We look forward to having you with us at our Mini Festival for what promises to be an action packed day with some excellent rugby. Please can you let me know if you need any further information or have any queries?
Kind Regards
