Welcome to the Havant RFC Mini Festival 2017.

Venue
The festival will be held at: Havant Rugby Club, Hooks Lane, Fraser Road, Bedhampton, Havant, Hampshire PO9 3EJ.

Directions from A3 & A3(M): At J5 of A3(M) take slip road to B2177 & take 1st exit off roundabout passing Rusty Cutter Pub on left.
Follow the B2177 up the hill and round to the right, over mini roundabout and forward to traffic lights. Straight on and then bear left past the level crossing.
Continue to the roundabout and take the 2nd exit into Elmleigh Road, then left into Civic Centre Road and then left into the Horizone Leisure Centre Car Park. There will be marshals to direct players to the club.

Directions from A27 – Havant/Hayling Island jct: At the roundabout head northbound on Park Road South (B2149) Straight through two sets of traffic lights onto Park Road North, over the bridge. At the large roundabout, take 3rd Exit to Elmleigh Road, 1st left into Civic Centre Road, the left into the Leisure Centre Car Park. There will be marshals to direct players to the club.

First Aid
Emergency Care Assistants and an ambulance will be stationed at the first aid point. Each Havant team will have a qualified first aider on hand but it is advisable to bring your own where possible.

Pitch Inspections and Go-Ahead
There will be a pitch inspection around 18:00 on the evening before the tournament. In case of any doubt as to the suitability of the pitches, there will be a further inspection at 07:00 am on Sunday. Please ensure you have emailed me a contact number so I can contact people should we need to cancel at short notice.

Coach/Referee Briefing
All clubs must provide a referee for each team entered with no exceptions. I will need to know names of these and their age group asap.
Please can referees and coaches report to the Control Tent on arrival to confirm their names, and then attend a short briefing at 09.15 (also at the control tent). Please make every effort to attend and ensure that any relevant details are passed onto coaches as necessary.

Registration
All players must be registered with the RFU.
Due to insurance regulations only registered players can take part. The onus is on each individual coach to ensure his/her players are covered by the RFU insurance schemes.
Please complete the attached team sheet and bring it with you on the day; teams must register with the Control tent (adjacent to your pitches) before the start of play. Please also let us know of any problems you have at the earliest opportunity so we can assist. On registration you will receive your pack containing rules, playing grid, bin bag and medals amongst other items.

Timing
Matches will start promptly at 10:00. The Control Tent will have a full list of matches and timings. As per the new guidelines, there will be no presentations of winners trophies.

It is the responsibility of all coaches and referees to work with the Pitch Marshalls to ensure smooth and timely running of the tournament and making sure their teams are available to play at the required time. Timings are such as to allow rest times, however, the matches can start early at the discretion of the referee and in agreement with both team coaches.

Studs and Gum Shields
Referees may be checking studs on the day.
Gum Shields are recommended at all levels and required for Contact Rugby (U9 and over)
Please ask that all players check their boots before the Tournament.

Tournament Organisers
The Tournament Chair and Referee will be available to resolve any issues on the day and can be contacted via the Control Tents.

Safeguarding
Any Safeguarding incident relating to Havant RFC premises / teams must be reported to the Club Safeguarding Officer on the day via the Control Tent, plus an incident report form which must be returned to safeguarding@havantrfc-mj.co.uk via email or by hand on the day.

Photography
We are pleased to announce that DE Photo have been appointed as the Professional Sports and Event Photographers for this event. This event, by its very nature, is in the public arena and when entering for the event the participant and their parents acknowledges this fact, which may result in the recording and publication of his/her image. All DE Photo photographers and staff have been CRB checked and the company operates a strict Child Protection Policy and Code of Ethics which can be viewed on their website at http://www.dephoto.biz/cpp.

We would ask that images containing faces of children other than your own should not be shared on social media platforms unless you have the express permission from the parents or guardians.

Drinking Water
Water bottle top-ups are available from cold water taps in the club house toilets.

Dogs
Dogs must be kept on a lead. Water bowls will be placed outside the club house and control areas. Please pick up after your dog.

Litter
Please ensure your teams leave no litter around the ground. Bin liners are available in your packs and from the Festival Organisers in the control tent and there will be a rubbish collection point near the control tent.
