Minutes Of The Agm Held On Monday 19 November 2012

1. Attendance:

2. The minutes of last years agm were approved a record of the meeting.

3. Matters arising - there were no matters no covered by other agenda items.

4. Chairman's Report:
Tony apologied for not being around as much last season due to increased work commitments that take him overseas on a regular basis.
Tony gave a brief overview of the EK setup for those present.

5. Treasurer's Report:
Sandra gave an overview of the unaudited accounts. She apologied for them being unaudited but there were some items still unaccounted for.

Subs plus kit profit requires tomcover all costs £1294 + £477.20 = £1771.20

Notes: Subs are £2 per week, Match fees are £4 per HOME match, no fees for Away games.

EK rugby made a profit in 2011-2012 season which reverses the 2010-2011 deficit. Tis was due to better costing of kit & increase in training weeks. The aim is to maintain the Lotery grant fund of £5000 as a base float. Our thanks to Ashford RFC for waiving their facilities fee.

Discussion regarding Squad Shirts – suggested to keep cost to £25 – for all NEW players, returning players will have choice of purchasing new squad shirt or having a membership fee of £7 with old squad shirt. The profit from the squad shirts pays for the replacement balls, ball sacks, cones, bibs and match balls – which are all required for this season as these items haven’t been renewed for a couple of seasons.
6. Team Reports

U16 - started on 30 November 2011 but struggled to maintain suficcient numbers to run a tteam. They did play 1 match vs Thanet but folded in February 22 2012. However 5 players from EK were selected for Kent at U16.

U15 - had a good squad and played 4 fixtures 3 against the other districts & a warm-up game vs Canterbury. Results Wed 29 Feb: Canterbury 5 - EK 50, Wed 14 March: Bromley 42 - EK 19, Wed 21 March: EK 17 - Metro Kent 19, Wed 28 March: EK 5 - West Kent 22.
As can be seen by the results there were some good performances especially against Cnterbury, Metro Kent & WK. In fact if not for a couple of strange refereeing decisions EK would have won the game v Met Kent, also if a full EK team had been available for the game v WK it would have probably been another victory, WK had to lend EK a couple of players which was very embarasing, WK were fortunate when the break of the ball went there way.

U14 - Quite a troubled season for the u14 team with some issue with the coaches outside the remit of EK. However our thanks go to all those involved to keep the squad together & performing so well. The only result published was Wed 23 March: EK 12 - Met Kent 22. Also games against Bromley & Blackheath.
Simon Davies, team manager for two years has decided not to continue into the u15s, so we gratgefuly thank him for his very efficient efforts for thfe last couple of years.

U13 - very good numbers
Our Head Coach Jo Payne – led the coaching team really well & the boys all enjoyed the experience, it is with much sadness that we report that Jo died during a game playing for Thanet, we send our condolences to his family and all at Thanet RFC.
The team had a couple of games.
We hope that those that coached last year will want to continue again in the new season.

Tony Taylor stood down as Chairman due to the pressure of work; he has not been able to be involved as much as he would have liked and this is likely to continue. As a founder member of EK rugby there are insufficient words to express the contribution that Tony has made to EK rugby, therefore it is with huge thanks that we ask Tony to be an Honorary Vice President.

8. County & Districts
Phil Mathe gave an outline of how the Kent School of Rugby U13 squad will work this season. There will be a mass trail in January after that about 50 boys will be selected to be part of the KSoR. The RFU have instructed counties to not have fixtures for U13 & concentrate on skill development, therefore the County aren’t supportive of Districts running competitive U13 squads – however EK will continue to do so in order to aid EK players be prepared to push for places in the U14 County squads.

As yet no communications have been made or received from the other districts, Phil reported that Met Kent have started training at U14,15&16 levels.
