CLUB CONSTITUTION

1. Name ​The name of the Club shall be "The Medicals Rugby Football Club".

2. Objects​The object of the Club shall be to provide a Rugby playing Club and to provide appropriate facilities and social amenities for members of the Medical Rugby Football Club.

3. Membership​Persons of either sex are eligible for membership of the Club provided they are at least 18 years old. Membership shall be open to all without discrimination and in particular no person shall be denied membership of the Club on the grounds of race, ethnic origin, creed, colour, age, disability, sex, occupation, sexual orientation, religion, political or other beliefs.

4. Ground:​Medical Athletics Ground, Cartington Terrace, Heaton, Newcastle upon Tyne.

5. Application for membership will be in such form as prescribed by the Committee.

6. Candidates for membership shall be approved by the Committee at its sole discretion.

7. Any member may resign by giving the Honorary Secretary notice which unless otherwise requested shall be deemed to take effect from the Monday following receipt thereof.

8. The Committee shall have the power to expel any member who shall offend against the rules of the Club or whose conduct shall, in the opinion of the Committee, render them unfit for membership of the Club. Before any such member is expelled the Honorary Secretary shall give seven days notice in writing for the member to attend a meeting of the Committee to answer the complaints made against him, having been appraised of those complaints.

9. Any member shall, upon ceasing to be a member of the Club, forfeit all right to and claim upon the Club and its property and funds.

10. Every member of the Club shall communicate to the Honorary Secretary his address or that of his Agent, and all notices posted to such addresses shall be considered as having been duly given 2 days after the date of posting. There shall be a membership fee determined annually by the Committee.

11. Membership fees shall be due at the start of the season (September) or as soon as a new member joins. Non-payment after 8 weeks shall render the member liable for expulsion.

12. General Committee and Officers

a) the control and management of the club shall be vested in a General Committee ("the Committee") which shall hold office for one year. Members shall be eligible for re-election.#

b) The Committee shall consist of:-
President/ Chairman
Honorary Secretary
Honorary Treasurer
Team Captains
Vice Captains
Director of Rugby
County Representative
Fixtures Secretary
Social Secretary
Ordinary Members

c) The Committee shall have the power to co-opt members as necessary from time to time; namely:
Club Volunteer Co-ordinator
Rugby First Aid Officer
Disciplinary Officer
Press Officer/ Webmaster
Tour Organiser

d) The Officers shall be elected by ballot at the Annual General Meeting (AGM). Nominations shall be properly proposed and seconded by members in good standing and shall be given in writing to the Honorary Secretary not less than 14 days before the date of such meeting 14 days before the date of the AGM. Nomination shall be accompanied by the written agreement of the nominee.

e) The Committee shall meet regularly throughout the playing season.

f) The Committee shall be empowered to take such action on behalf of the Club as may be considered necessary to secure its objects.

g) The Committee shall from time to time make, or repeal all such Bye Laws and regulations (not inconsistent with these rules) as it shall think fit for the internal management and well being of the Club. All Bye Laws and Regulations made by the Committee under this Rule shall be binding upon members until repealed by the Committee.

h) The Committee shall be the sole authority for the interpretation of these rules and of the Bye Laws and regulations made thereunder; and the decision of the Committee upon any question of interpretation, or upon any matter affecting the Club, and not provided for by these Rules or Bye Laws and Regulations made thereunder, shall be final and binding upon members.

i) The property of the Club shall be vested in three Trustees who shall be elected by the members of the Club in general meeting, who shall hold office for a period of five years or until death or resignation (if earlier) and who shall be eligible for re-election. The Trustees shall deal with the property of the Club in accordance with the directions of the Committee and shall be indemnified against risk and expense out of the said property.

14. The Medical (University of Newcastle upon Tyne) Sports Club (MSC) shall provide social amenities for members using the Medical Sports Ground.

a) The MSC is a sub-committee of the Club and shall be administered by the Committee. All Rules or Bye Laws and Regulations of the Club apply to the MSC.
b) Notice of any alteration to these rules shall be given not more than 28 days after the passing of the resolution making such alteration to the Clerk to the Justices, the Chief officer of Police and the Proper Officer of the District Council and no such alteration shall be made to the rules governing the supply of intoxicating liquor without the prior consent of the Justices.

15. Duties of the Committee Members is outlined in the clubs Job Descriptions Document (#05)

16. General Meeting of Members.

a) The AGM of the Club shall be held each Calendar year upon a date (not being more than 15 months after the holding of the last preceding AGM) and at a time to be fixed by the Committee for the following purposes:-

i)To receive from the Committee a report balance sheet and statement of account for the preceding financial year.

ii) To decide on any resolution which may be submitted by any member in good standing who shall have given notice thereof in writing to the Honorary Secretary not less than 14 days before the date of such meeting.

b) The Committee may at any time, for any special purpose call an Extraordinary General Meeting (EGM).

c) Full members of the Club may, in writing, at any time, for any special purpose, require the Honorary Secretary to summon an EGM provided that a written application for such a meeting is signed by at least 20 members (or by one fifth of the of the total number of members if one fifth shall number fewer than 20) and provided further, that the written application shall state clearly the purpose for which the EGM is required, this shall be the only matter discussed at the EGM.

d) At all meetings the President of the Committee, and in his absence a member
selected by the Committee shall take the chair. The quorum at such a meeting shall be 10 members.

e) Fourteen days notice at the least of every General meeting shall be given to the members entitled to be present thereat.

17. Accounts The Financial Year of the Club shall end on the 31st day of May each year, to which day the accounts of the Club shall be balanced.

18. Alteration of Rules These rules may be added to, repealed or amended by resolution
of the members provided that no such resolution shall be deemed to have been passed unless it be carried by a majority of at least two thirds of the members present and rating at the AGM or EGM to which such resolutions have been submitted.

This constitution was approved unanimously at the 2000 Annual General Meeting.
