2017/18 U10 AND U11 FESTIVAL

WELCOME AND INTRODUCTION
We look forward to welcoming you, your players, parents & supporters to Freelands, home of Pulborough RFC for our U10/U11 Festival on 3rd December 2017. We hope all who attend have an enjoyable day.
The festival is all about participation and enabling players to enjoy the game of rugby that we all love. This tournament is a mixed tournament to allow players of varying ability to engage in the game, learn and develop with other players from their club. We feel this provides great levels of motivation and the opportunity for players to learn and enjoy the day and the game of rugby.
The enjoyment of rugby for the children must always come first and this will certainly be our top priority. We are confident the day will be an enjoyable one (come rain or shine) and we request that, as coaches and parents, we ensure the values and spirit of the game are upheld.
The information here will hopefully help things run smoothly on the day and to make it an enjoyable event for all. We ask you to have a look at all the information and ensure that everyone from your club is aware of the relevant details.
In advance, thank you to every one of the U10 and U11 squads, families and friends for supporting the festival and making this day possible.

PARKING
As we are all aware, rugby festival car parks are very busy. We have limited parking is available at Freelands and request that you encourage your teams to car share to reduce vehicle numbers. In order to encourage car sharing, a parking fee of £2 will be paid for each vehicle. This will be collected on arrival and will include a festival programme.
Please be aware that parking is not allowed on public roads surrounding the club.
Please also ensure that you follow the instructions of our car parking marshals when parking, they are volunteering to help with the safety of all attending the festival.
Please note dogs (other than guide dogs) are not allowed at the rugby club. This is due to player safety. We thank you in advance for your understanding.
REGISTRATION
You will find the registration desk at the clubhouse, which will be open from 9.00am.

A player registration form will be attached to the email for you to complete and email back or bring to the registration table for checking. If you do email your form, please double check the details on the day at the registration table.

Please note that players not registered with the RFU will not be eligible to play in the tournament.
COACHES / REFEREES
Briefing
All coaches need to attend the coaches briefing which will be held at 9.30am at the respective age group pitches hosted by PRFC Head Coaches.

The playing order, laws and expectations will be discussed. The aim is to ensure consistent interpretations of the laws of the game and to create a positive and fun playing environment where players can play each game under consistent refereeing.
Referees
To allow the day to run smoothly, each club team is requested to provide a referee for each team entered. Each team will be required to referee at least 2 matches.

Please also remember that all referees are volunteers and the referees’ decision is final. Any abuse of officials will not be tolerated and teams may be asked to withdraw.
Please ensure that the referees are ready to start the game immediately following completion of the preceding game.
Touch Judges
Each team entered must provide a touch judge for each game they play. This procedure will be overseen by the Pulborough Pitch Marshall.
RULES OF THE TOURNAMENT
The rules of play are governed by the RFU Regulation 15 Age Grade Rugby rules as set out in Appendices 4 and 5 for the U10 and U11 age groups respectively.
MATCH TIMING
The first matches will start at 10.00 am and the tournament will take the form of three pools in each age group. Each team will play every team once within their respective pools. There will be no play-offs or match scoring. We hope to have all games completed by 13:20 latest.

Provisional timings of the games are attached here. Definitive timing will be provided in the programme.

U10 games will be played for 7 or 10 minutes each way depending on pool size. U11 games will be played for 8 minutes each way. No extra time will be allowed at any age group.

Please help us make the day run smoothly by having teams ready to move onto their pitch as soon as the preceding match has finished.
PITCHES
The programme will contain details of match pools and layout of pitches. Any tents or shelters must be erected at least five metres from the touch / dead ball line.

We request spectators and coaches stand at least 3 metres from the touch line to minimise the risk of collisions between spectators and players.

CLUB HOUSE
The club house will be open from 9am. We ask that boots and muddy kit are not worn inside the club house. Lavatories can also be found in the club house.

As we are approaching Christmas, raffle tickets will be on sale during the day. A draw will be made at the end of the day for the winner to collect their rewards.
REFRESHMENTS
Refreshments, including hot food (bacon rolls, hot dogs, pasties, pies) and hot drinks, will be available from 9am in the clubhouse.

Cakes and candy floss will be available at the clubhouse from 10:30.

The bar in the clubhouse will open at 10.30 am
FIRST AID
Please ensure you have a qualified First Aider present when your team is playing. Pulborough RFC will have Protak Event Services present. Please ensure that you park your vehicle in accordance with the wishes of the car parking helpers so we can maintain ambulance access at all times.

The escalation process will be:
1. Initial attention/review from your First Aider
2. Assistance from Protak Event Services
3. Ambulance call by Protak Event Services

In the unlikely event of a serious injury, an incident and accident report form will need to be completed.

CHILD WELFARE
We aim to ensure that the provisions of the RFU/RFUW Child Protection Policy are applied during the Festival and ask that all participants support our efforts in this respect. We’d like to clarify the position regarding photography as follows:
• It will be assumed that the parents/guardians of all players participating in the Festival have given their consent for photographs to be taken. If this is not the case, the coach or manager of the team must inform the organisers.
• Anyone taking photographs or recording images of players must have a valid reason for doing so. It will be assumed that all players, parents and guardians, coaches and managers have a valid reason.
• Checks may be carried out during the Festival, and persons taking photographs may be asked for proof of identity.
