The 91st Ards Rugby Annual General Meeting will be held in the clubhouse on Tuesday 28th May 2018 at 730pm.

a. Refereeing matters

Minutes of 90th AGM and the financial accounts will be available on the evening of the 91st AGM.

Persons whose subscriptions are unpaid for the season 2018/2019 are not entitled to vote, nominate or be nominated for Office or membership of the Executive Committee at the AGM.

An Associate Member has no voting rights at the AGM and may not hold Office or be a member of the Executive Committee.

Members should not allow themselves be nominated for Office or Committee unless they are satisfied that they will be able to fulfil duties which holding Office and Committee membership entail.

Notice of Executive Committee Motions for consideration at the 91st Annual General Meeting of Ards Rugby Football Club to be held on Tuesday 28th May 2019 at Hamilton Park Newtownards

Proposal 1.

The following amendments are proposed to the Rules of Ards Rugby Football Club:-

1. Rule 6 - OFFICIALS OF THE CLUB:

Add “Chairperson” to “President; Senior Vice-President; …….”

Explanation: To produce greater continuity in the running of the Club and ease the duties of the position of President.

2. Rule 3​ - ORDINARY MEMBERSHIP:

Add “Full Playing (Women)​ £45.00"

Explanation: To accommodate women who, although paying a subscription to the Club, play for the North Down Women’s team.

3. Rule 3​ - ORDINARY MEMBERSHIP:

Delete “Under 18 years on 1st May” and replace with “Under 18 and Over 12 Years on 1st May”

Explanation:​To define the age limits of the Youth age group.

4. Rule 3​ - ORDINARY MEMBERSHIP:

Add “Mini (Under 12 years on 1st May) ​£85.00"

Explanation:​ To distinguish between Youth (Under 18 on 1st May) and Mini (Under 12 on 1st May).

5. Rule 3​ - FAMILY MEMBERSHIP (Adults and Minis):

Delete “The annual subscription shall be £100.” and replace with “The annual subscription shall be £140.”

Explanation:​ To mirror the £40.00 difference between Youth (Under 18 on 1st May) and Mini (Under 12 on 1st May) subscriptions.

6. Rule 3​ - POLICIES & CODES OF PRACTICE :

Add “Accident, Incident and Injury Policy” to, and alphabetically rearrange, the list of Policies and Code of Practice list, i.e.

Complaints Policy and Procedure
Disciplinary Policy and Procedure
Equality Policy
Health and Safety Policy Social Media Policy
IRFU Safeguarding Policy for Age-Grade Players

Volunteer Policy

Explanation: The Accident, Incident and Injury Policy was written on 12/09/2018 and requires to be added to the list. Alphabetically rearranging the list brings them into line with the document (Ards RFC Policies) in which they have been collated.

Proposal 2.

Rule 33​ - TRUSTEES:

The addition of 4 Trustees.

Explanation: The Club currently has the minimum number of Trustees required by law, i.e. 5. The addition of 4 Trustees is regarded as necessary for future governance.
