What is the AGM?
The Annual General Meeting is when we elect committee members, captains and fill roles for the season ahead.
Who can attend the AGM?
All members of the club.
How can I get a role/get on the committee?
First, take a good look at the roles below and what's required of you. If you think it's a good fit, you need someone to propose you at the AGM. Once this has seconded (backed up) by someone in the room, you will be in contention for that role.
What happens if more than one person goes for a role?
You leave the room while those left in the room vote with a show of hands.
What if I cannot make the AGM, can I still vote?
No, you must be in the room to vote.
What do I do if I want to help in an area of the running of the Club, but do not necessarily want to stand for the role?
Speak up, we are always looking for more people to help out. A good example of this is the sponsorship sub-committee which is an extremely well-run section that has brought in thousands of pounds since its inception. Just let us know!
So, below are the roles that need to be filled at the AGM! Many will have their current holders standing once more, but do not let that dissuade you from stepping forward - or nominating someone else!
President
Description:
The President is the figurehead of the club, representing it at internal and external functions
Key Accountabilities:
- Act as the figurehead of the club – be the welcoming face of the club, set an example that influences the way the club is perceived and represent the club at internal and external functions
- Provide advice and assistance to any other committee members as required and support any sub committees in order to grow the club
- Lead and represent the club at any disciplinary hearings (if required)
Club Chairman
Description:
To provide vision, leadership and business planning to help develop all aspects of the club, from playing and team
development to running the business and a key part of any financial decisions.
Key Accountabilities:
- Arrange and lead club meetings – committee meetings, emergency committee meetings, subcommittee meetings concerning club policies or developments. Special / Annual general meetings and working with the secretary to prepare AGM reports
- Ensure club representation – make sure the club is represented at any relevant RFU meetings as well as local Warwickshire RFU meetings
- Represent the club at any disciplinary hearings (if required)
Club Secretary
Description:
The club secretary will provide a single communication channel into the club between both internal and external stakeholders. To include the main committee, Sub committees (such as sponsorship), Club members, RFU and any other club / league correspondence.
Key Accountabilities:
1. Manage & Maintain record keeping: Manage internal and external club correspondence, manage all legal and insurance matters including any player disciplinaries if required.
2. Lead Meeting Organisation: Organise the AGM, regular committee meetings (once per month) and any other club meetings that are required. Prepare agendas, take minutes and distribute meetings when required.
3. Lead communication between all rugby related organisations: Communicate any important matters between the RFU and Warwickshire Leagues.
Treasurer
Description:
Manage club finances, contribute to strategic business planning, review and recommend financial policies for the club to
ensure our rugby club remains sustainable.
Key Accountabilities:
- Lead on all financial areas – plan and monitor finances throughout the year, reporting to monthly committee meetings and a yearly statement for the AGM. Keeping the committee informed of any issues or spending trends.
- Manage financial transactions – Prepare and submit any relevant documents, including VAT, reports, invoices. Ensure the club has paid relevant affiliation fees, membership fees etc.
- Club Membership – working with the sponsorship sub committee to keep track of playing & social membership prior to the new season start. Issues to be presented to the committee if required.
- Communicate any important matters between the RFU and Warwickshire Leagues.
Fixture Secretary
Description: Responsible for organising all league, cup and friendly matches for all senior teams and ensure fixtures provide the right standard of rugby.
Key Accountabilities:
- Coordination of fixtures – propose a fixture list for all teams, reflecting the ambitions of the club, confirming the list in writing by July of each season (largely led by league fixtures for 1s and 2s)
- Ensure information is distributed to relevant parties – RFU, referees societies and other relevant agencies, confirming the fixtures with opponents at least two weeks before the game (where possible) along with kick off times
- Dealing with any unexpected problems that arise – Deal with match cancellations and finding new fixtures, handle any fixture queries throughout the season
- Prepare and present fixture plan during pre season to the committee, update through committee meeting cadence progress throughout the year
Social Media Lead
Description: Responsible for updating the club’s Facebook, Instagram and X accounts, updating club website and featuring in the press.
Key Accountabilities:
- Keeping the general public informed of the clubs results, fixtures, events and other matters of interest.
- Providing exposure for our club sponsors
- Gaining coverage of the club in different media outlets, locally and further afield
- Keeping the website updated with upcoming events
Registration Lead
Description: Responsible for the official player registration to ensure all players are available for league, cup, shield, vase competitions
Key Accountabilities:
- Manage online registration using the Game Management System
- Maintain the list of players with effective registration
- Ensure relevant documentation is available to coaches / managers for swift registration of any new players
Groundsman and Team
Description: Responsible for overall condition of all playing facilities, both on and off season to ensure playing surfaces are of the highest standard
Key Accountabilities:
- Off season – Maintenance / Preparation so grounds are ready to commence pre season training and fixtures
- On season – Weekly maintenance – including grass cutting and line marking to ensure the pitch is ready to host all home games throughout the season
- Present regularly at the committee meetings – outlining any equipment or materials being requested, discuss with treasurer / chairman any costs associated with keeping the grounds
- Any maintenance to tools / machinery to be organised and costs agreed with treasurer / committee
Head Coach & Team
Description: The head coach will develop and implement a coaching strategy for Manor Park rfc to allow all players to improve and reach their potential. In turn delivering results on matchdays. This role will be supported by assistant coaches and also the
1st XV Manager.
Key Accountabilities:
- Plan & Lead training sessions (Proposal of Tuesday & Thursday through pre season, with a view to once a week October onwards)
- Prepare, plan and manage matchdays
- Lead team selection and player communication
- Develop existing and new individuals skill set, confidence and fitness levels
- Assist in player recruitment
- Appointment of any assistant coaches required / wanted to support through the season
Club Captain
Description: Club captain will act as a role model at the club, acting as the link between players and the main committee, representing the views of players. A direct feed into the committee with any view or concerns from the players.
Key Accountabilities:
- Lead weekly availability – Outline plan for the week to all players in order to obtain availability for training and games
- Liaise between players & committee – represent the players in monthly committee meetings, ensure players are aware of expectations on and off the field, encourage all players to get involved with volunteering around the club with any improvements to facilities etc.
- Lead, advise and support the team – be part of selection meetings (if required), help the coaching team organise training and player development where appropriate, support to fellow team mates if required.
- Wider Club Role – Be the face of the playing group, be available to support club functions such as AGM, Dinner Dance to both present awards and also present on behalf of the playing group.
2nd / 3rd XV Captains
Description: 2nd / 3rd XV captain will act as a role model at the club, acting as the link between players and the second team Manager.
A presence on the main committee in order to feedback any concerns from the 2nd / 3rd XV.
Key Accountabilities:
- Key support for weekly availability – Outlining second team fixtures week to week and assisting club captain in overall player availability
- Liaise between players & committee – represent the players in monthly committee meetings, ensure players are aware of expectations on and off the field, encourage all players to get involved with volunteering around the club with any improvements to facilities etc.
- Lead, advise and support the team – be part of selection meetings along with second team manager
- Wider Club Role – Be the face of the playing group, be available to support club functions such as AGM, Dinner Dance to both present awards and also present on behalf of the playing group.
