Your Responsibilities/T+C's/Health and Safety
'User groups' refers to you, the booking agent, and also the people using the booking with you.
'The Company' refers to Kew and Ham Sports Association

1. User groups must keep the pitches free from all rubbish.
2. Food may only be consumed in the main pavilion and must not be taken on to playing surfaces.
3. User groups must change in the designated changing facilities. No changing should take place in storage areas or in the common areas of the club.
4. Spillages, breakages and other incidents must be reported to staff immediately.
5. The company accepts no responsibility for loss or damage to user groups property &/or valuables. There is locker storage available. You must supply your own lock, or purchase one from the company (if in stock). Lockers must only be used for the booked period.
6. User groups must wear appropriate clothing at all times. If inappropriate or offensive clothing is worn users’ will forfeit the right to play at this time & will not be refunded for the particular session.
7. Any form of aggression or violence towards people on the facility will not to tolerated and will result in the appropriate authorities being called and any bookings cancelled in their entirety.
8. Users must keep all emergency exits free & unobstructed.
9. Accidents & incidents must be reported to the centre staff immediately.
10. Any defective equipment must be reported to the centre staff immediately.
11. Each group is responsible for setting up its own equipment.
12. Users do not have a right to store equipment on site. The company may allow this by agreement but will take no responsibility for any equipment you choose to store on site.
13. Appropriate footwear must be worn on the 3G surface. This means; Conventional trainers, moulded studs, no more than 8mm. NO BLADES
14. Clubs/User groups are responsible for their own first aid cover.
a. All clubs should provide their own 1st aider wherever possible.
b. If you choose not to provide a valid 1st aider you undertake any activities at your own risk.
15. A valid Public Liability Insurance certificate must be provided if you offer any form of instruction to your customers. This is not applicable if your booking is only for social or competitive purposes.
16. Each User group is responsible for its own admissions, booking & charging systems pertaining to its members.
17. Each user group must familiarise themselves with the emergency procedures. A large poster is displayed by the entrance. Please take time to read this.
18. The facility may be unavailable at short notice due to staff shortages and other reasons. We reserve the right to cancel. A refund will be given in line with your rights.
19. All children must have permission of their parent/guardian. As payment is taken by debit/credit card via Paypal it is presumed that a parent/guardian has made the booking (the T+C's and state you must be over 18) and therefore their is implied permission for your child and their friends to play. In short, you take responsibility.
20. Do not touch/move any equipment. Especially lighting.

Our Responsibilities
1. The company will ensure that you are able to gain access to the area you have booked.
2. The company will ensure that the building is opened on time for your session.
3. The company will keep this area clean and usable for your session.
4. The company will ensure that you have access to necessary equipment as per your agreement.
5. Staff will be on hand during your sessions to provide assistance. They will be contactable at all times.
6. If credit terms are agreed we will issue you with an invoice for your session on a termly basis in advance (unless by other mutual agreement ).
7. The company will give users 2 weeks written* notice should the company wish to terminate a letting.
8. The company will give users 2 weeks written notice of any proposed changes to the letting charges.
9. Notice periods for cancellations may be as little as just before the booked period due to staff illness etc. You shall still only be eligible for a refund of booking but not any subsequent costs.

*For the avoidance of doubt written notice shall include email &/or fax correspondence.
