• Other information relevant to participation in customer surveys and on cricket training courses
What we do with the information we gather
• Contact you with any League information or requests, including invoices
• Maintain our records

• Send you notices of Dorset Cricket Board offers or other ‘cricket specific’ information which we think you may find interesting
• Conduct Dorset Cricket Board-related market research to improve the recreational game
• Store it for no longer than a twelve-month period
We do not sell, distribute or lease personal data or information to commercial organisations.

We are committed to ensuring that your information is secure. To prevent unauthorised access or disclosure, we have suitable procedures in place to safeguard and secure the information we collect.

The Dorset Cricket Board does not use Cookies on its website.

Our website contains links for payment of various activities we organise. The payment website is linked to the ECB and has its own Terms and Conditions, Privacy Policy and Consent Agreement. We act in alliance with the ECB on these payment links.
Our website may also contain links to other websites of interest. However, once you have used these links to leave our site, you should note that we do not have any control over the other website. Therefore, we cannot be responsible for the protection and privacy of any information which you provide whilst visiting such sites and such sites are not governed by this privacy statement.
Controlling your personal information
Whenever you are asked to fill in a form, you will be asked to click a box to give the Dorset Cricket Board your consent for us to use your information as stated above.
You may request details of personal information which we hold about you under General Data Protection Regulation 2018. We will not charge you for this. If you would like a copy of the information held about you please write to the Dorset Cricket Board Ltd, The Leaze, King Street, Wimborne, Dorset BH21 1DY. On receipt, if you believe any information we are holding is incorrect or incomplete, please let us know.
You may also ask us, in writing (via email or post) to revoke your consent, at any time. No fee will be charged for this.
Retention and data storage
When we store data, reasonable measures are taken to protect personal information from access by unauthorised persons. This information will be stored, archived and backed up as part of internal systems which are hosted by cloud service providers.
In order to maintain the accuracy and relevancy of information, we perform checks every 6 months and this may include making contact with the subjects of the data to check details.
When we do store information, we keep it for the following periods:
1. Information gathered on our website for the purposes of promoting and delivering our services is retained for 12 months from the date of consent being provided.
2. Correspondence not relating to a contract will be retained for 1 year following its creation.
3. Records and documents relating to contracts and insurance policies will be retained for 7 years after the end of the contract or policy.
4. Information and documents relating to unsuccessful job applicants will be retained for 6 months from date of notification to the candidate.
5. Other Information will be kept for periods as defined in our retention policies which can be provided on request.

BOOKING TERMS AND CONDITIONS
CHILDREN’S EVENTS
The Parent/Guardian agrees to the child participating in the chosen course and understands that the Dorset Cricket Board Limited has a third party policy which provides cover for the child against loss/injury to him/her occurring as a result of negligence by the Dorset Cricket Board Limited, its servant or agents. The Parent/Guardian may take out their own additional cover if they so wish.
The Parent/Guardian confirms that the child will comply with the Players Code of Conduct.
The Parent/Guardian understand the spirit of the Parents’/Guardians’ Code of Conduct.
The Parent/Guardian consents to the use of photography in the coaching and publicity of cricket which may take place involving the child.
In the event of any injury or illness, all reasonable steps will be taken to contact the Parent/Guardian and to deal appropriately with that injury/illness.
The Parent/Guardian acknowledges that it is their responsibility to state when registering and to inform the coach of any known illness/allergy a child may have.
The Parent/Guardian acknowledges that their safety is their responsibility when attending indoor/outdoor events.
In the event of any misbehaviour during an event, Dorset Cricket Board Limited reserves the right to preclude anyone from that event, and to refuse applications for future events. In such circumstances a refund may not be made.
The Dorset Cricket Board Limited reserves the right to cancel or amend any course.
The Dorset Cricket Board Limited will hold the details of attendees, once consent has been obtained, to maintain records and to provide and administer the goods and services requested from us. These details will be deleted once the event and any follow-up correspondence/contact has been completed.
Requests for an Assisted Place on the Children’s courses at half the published price for those parents/guardians in receipt of certain State Benefits should be addressed to the Dorset Cricket Board’s office on 01202 881349.
REFUND POLICY
1. Should an event become overbooked every attempt will be made to arrange a suitable alternative venue, or alternatively a refund will be made.
2. Requests for refunds for reasons other than 1 above may be subjected to a 15% deduction towards administrative costs.
CANCELLATION POLICY – Course/Event Booking System
We hope that you will be happy with your booking of one of our events or courses. However, we are willing to accept changes to, or cancellations of, one or more places in your booking but can only accept these changes or cancellations from the person who made the booking.
If you have any questions or problems with your booking, please contact the Event Planner on the email provided on your confirmation email or on 01202 879890.
We will allow you to change to an alternative course/event or date only if there are sufficient places available for those attendees in your booking whose event or course date you wish to change. If there is a waiting list for the alternative course/event or date, they can join the waiting list but will not be given preferential places at the event or on the course.
Cancelling your booking
If we are unable to resolve your problem and you wish to cancel one or more places at the event or course you have booked, the following will apply:
For any bookings made less than 14 days before the event or course starts You will only be entitled to cancel if you notify us of your wish to cancel prior to the event or course starting in which case you will receive a full refund for the cancelled place.
For any bookings made 14 or more days before the event or course starts You will have the right to cancel one or more places from the booking for up to 14 days after the date on which we confirm receipt of your booking (the ‘cooling-off’ period) if you notify us of your wish to cancel and to receive a full refund for the cancelled place(s). However, the following charges may apply:
• Cancellation not less than 28 days before the course start date. A full refund will be given less an administration fee of 20%
• Cancellation between 28 days and 10 days before the course start date. A 50% refund will be given less an administration fee of £20%.
• Cancellation less than 10 days before the course start date or non-attendance. No refund will be given.
How to exercise your cancellation rights
To exercise your cancellation rights, you must notify us in writing that you wish to cancel. This may be via email or letter.
When to expect refunds for cancelled bookings
All refunds for cancelled course or event bookings will be made by the end of the month during which notice of cancellation is received from the person making the booking.
