1. Privacy
Essex County Hockey Association (ECHA) want to make sure all the personal details we hold about you are safe and secure, so we have put together this note to tell all of our junior members how we make sure we just do that and what to do in case you have any questions for us or want to see what information we have. We are, what is known as, a data controller. This means we have control over how your details are used and who we pass them to.
Sometime organisations like ours need to appoint an individual called a “Data Protection Officer” to make sure that we are being very careful with your information. We don’t need to have a Data Protection Officer, but we have decided to put together a team of people instead to make sure your details are safe. They can be contacted at welfare@essexhockey.co.uk or web@essexhockey.co.uk in case you have any questions.
2. How We Collect Data
We will normally collect personal information about you when you create an account on our site at pitchero.com to become a member of ECHA, or when you want to talk to us on the phone, by e-mail or in some other way.
3. How We Use Data
We will never share or sell individual information with any organisation. Information will be accessible to your coaches and team managers for organisational and emergency purposes. When you move on from Essex County (so post U17 groups) we will delete you and your family information after 12 months, unless there is still a younger sibling eligible at a younger group. We retain data for 12 months in case players need a reference point for university applications or other personal purposes.
From time to time we are asked to provide diversity reports to England Hockey. Such reports are depersonalised and aggregated to demonstrate ECHA commitment to diversity and inclusion.
