Become a volunteer at Leamington Rugby Club

We have an amazing team of dedicated volunteers within minis and juniors who work hard to make sure our young players have the best experience.

There are many volunteering opportunities within the club and, while the benefits of volunteering are specific to each individual, the inclusive environment of Leamington Rugby Club is a rewarding place to be for people with differing sets of skills. You do not have to be a rugby expert to get involved. Full training is given for those roles which require it.

REGISTRATIONS SECRETARY

Purpose
To ensure that all mini and junior players are registered with the club on the Game Management System (GMS) in accordance with the RFU’s latest guidelines.

Key aspects of the role

  1. Start of season membership process
  2. Update the membership process and forms at the start of every season in line with RFU guidelines and club policies. Gain agreement to the process from the M&J committee and ensure this is communicated to Age Group Managers and the Marketing Manager in good time for the new season.
  3. Ensure all players are registered
  4. Update the GMS system as players register to ensure all are recognised and insured to play games for the club.
  5. Take responsibility for record keeping
  6. Work with age group managers, treasurer and chair to ensure registrations and payments align and that our membership database is up-to- date

If you are well organised, IT literate with strong attention to detail and have excellent communication skills with a friendly and approachable manner, you could hold this rewarding post.

FIXTURES SECRETARY

Purpose

To take responsibility for organising league, cup and friendly matches for all of the mini and junior teams at the club and ensuring the fixtures provide the right standard of rugby, reflecting the needs of our club.

Key aspects of the role

  1. Coordination of fixtures
  2. Working with other local rugby clubs and our head coach, create a fixture list for all mini and junior teams for the coming season. Monitor the fixtures email address and act as club contact in online fixtures groups.
  3. Ensure information is distributed to relevant parties
  4. Ensure that fixtures are communicated to M&J committee members and team managers and are uploaded to the website. Supply relevant lists to the RFU, Referees societies and other relevant agencies where required. Confirm fixtures with opponents at least two weeks before the game and ensure that teams are provided with kick-off times & directions to the club.
  5. Dealing with any unexpected problems that arise
  6. Deal with match cancellations and finding new fixtures; handle any fixture queries throughout the season.

Is this role for you?

If you are enthusiastic, patient, well organized and conscientious, with a familiarity with the club and its vision and strong communication skills, you could be the source of all knowledge about upcoming matches, keeping the season alive and on schedule.

SCHOOLS LIAISON OFFICER

Purpose

To create mutually beneficial links with local education institutes.

Key aspects of the role

  1. Develop relationships with local education institutes
  2. Identify and approach local schools and develop positive, ongoing relationships with key school contacts
  3. Promote Leamington rugby club
  4. Ensure schools, and the local community, are aware of the benefits of their children playing at our club. Promote planned events and activities.
  5. Coordinate school bookings
  6. Offer the club facilities to schools and act as coordinator to manage any booking requirements between the club and the school
  7. Support recruitment of new players
  8. Use the relationships with the schools to help with recruitment of players into each age group

MARKETING & SPONSORSHIP MANAGER

Purpose

To manage advertising and sponsorship activity for the minis and juniors, encouraging local businesses to support Leamington rugby club in exchange for promoting their business.

Key aspects of the role

  1. Manage marketing and sponsorship developments
  2. Manage existing sponsor and advertiser relations. Work closely with the mini & junior committee and senior sponsorship manager to maximise opportunities.
  3. Build new business opportunities
  4. Source and approach new potential sponsors; build business cases for possible partners illustrating the potential returns on investment. Work with the mini and junior committee on the longer-term plans and types of sponsorship that may be required.
  5. Manage sponsor promotion
  6. Work with the marketing manager to ensure sponsors are promoted within the club. Work with the events manager to organise specific sponsor recognition events and to include relevant sponsors in mini and junior events.

TOUR MANAGER

Purpose

To ensure that tours are planned in good time, run smoothly and everyone enjoys themselves so that the team players, team and club can bond and positively enhance its reputation

Key aspects of the role

  1. Ensure all mini & juniors tours are compliant
  2. Ensure RFU Regulations are being adhered to in good time before departure. Work with the Safeguarding Officer to agree a code of conduct for the tour and to make sure everything meets RFU tour guidelines
  3. Lead on the organisation of the itinerary for the mini tour
  4. Work with team management and the Fixtures Secretary to decide destinations and itinerary; form and lead a team of volunteers to help the organisation run smoothly; arrange transport, insurance, accommodation/billeting and social activities, visas and vaccinations where necessary.
  5. Provide advice and guidance to junior tour organisers
  6. Work with junior team organisers to ensure the tour is properly planned and has all relevant pol
ices and paperwork in place.

FIRST AID LEAD

Purpose

To ensure that appropriate first aid policies, equipment and supplies, training and team first aiders are in place to support player welfare so that the club can make rugby as safe as possible for all mini and junior players.

Key aspects of the role

  1. First Aid Pitch-side Provision
  2. Review the RFU’s recommended minimum levels of first aid (FA) guidelines to identify the level of first aid that is needed. Create a plan to ensure that every training session and match is covered by an appropriately qualified First Aider.
  3. Training & Equipment
  4. Organise training to ensure all appointed first aiders are trained and up-to-date with an appropriate level of qualification in line with RFU guidelines (e.g. RFU Emergency First aid in Rugby Union course). Manage the stocking and general maintenance of first aid supplies and equipment, making sure the first aid equipment and kits are suitable for the level/amount of activity and those trained to use it.
  5. Reporting
  6. Ensure there is process in place to keep records of player medical conditions, monitor injuries and report incidents/injuries as they happen in line with RFU regulations.
  7. RugbySafe
  8. Utilise the RFUs RugbySafe scheme and guidelines (e.g. management of concussion), work with other key personnel (e.g. coach coordinator and safeguarding officer) to support wider best practice and ensure that all club volunteers and parents are aware of how to support player welfare.

KIT MANAGER

Purpose

To have key responsibility for the Leamington kit and equipment for all mini and junior teams.

Key aspects of the role

  1. Manage key relationships
  2. Build an effective relationship with kit suppliers, all team managers, coaches and the head coach in minis and juniors.
  3. Manage new kit distribution
  4. To arrange playing kit for new players when they join the club.
  5. Manage stock levels
  6. Ensure adequate stock is available for both start of season and mid-season orders. Work with team managers to have a view of potential new recruits. Monitor supply levels and order new kit from the supplier in a timely manner
  7. Manage team equipment
  8. Working with the head coach and team coaches, ensure that all age group have the right amount of kit such as balls, cones etc.

EVENTS MANAGER

Purpose

To ensure that all events held in minis and juniors, such as those to provide additional income, support recruitment, reward volunteers or provide fun for the kids, are a success.

Key aspects of the role

  1. Lead the organisation of all mini and junior events
  2. Plan, organise and lead a team to deliver major events, e.g. Christmas party, festival, presentation day, recruitment days, fun days, summer balls etc.
  3. Work with other officers to set targets
  4. In consultation with other club officers, set targets for each event in terms of increased participation, funds raised, numbers recruited, rewarding volunteers or simply having more fun.
  5. Maintain a calendar
  6. Put in place a calendar of events to maintain momentum and awareness throughout the club and support recruitment

Is this role for you?

If you are motivated, well-organised and well-connected, excellent at inspiring others and ideally with experience in event planning, you could hold a position that is instrumental for keeping the club running.
